Thank you for being a vital part of the 2025 Disabilities Expo. This event wouldn’t exist without your support. Below is everything you need to know for setup and a smooth Expo day. Please read carefully, we’ve included important updates and helpful tools!

New This Year: Expo App!
We’ve launched a web-based app to help attendees find vendors quickly. The app works best on mobile devices. Screen readers also only work on mobile, so encourage guests who need accessibility features to use a phone or tablet. Check Out the App
Prior to the Expo:
At Friday check-in, you’ll receive:
- 2 parking passes
- 2 badges
- A printed program guide
Can’t make Friday check-in? Let me know by May 2 if you’d like passes mailed to you or your team.

Booth Set Up
Booth set up begins Friday, May 9th at Noon. Check-in and unloading is available only through Coliseum doors 3 & 4, which are located on the Parnell Street side of the building. You may drive your vehicle directly inside the Coliseum for easy unloading. Due to liability restrictions, Expo volunteers cannot assist with loading or unloading. Handcarts will be available. Doors close promptly at 5:00 PM on Friday.
Saturday setup is permitted only if it is your only option. Booths must be completely set up and staffed no later than 9:45 AM on Saturday. You may arrive no earlier than 8:00 AM on Saturday morning to set up your booth and must enter through doors 13A, located at the vendor parking lot. Saturday setup is not eligible for vehicles to drive into the Expo Hall.
NOTE: Let us know if you will need parking passes mailed to you by May 2. For alternate setup arrangements you must contact Andie Mosley at 260-207-5769 or
amosley@awsfoundation.org.
Parking
All vendors need to park in the vendor parking lot located to the left of the parking attendant booths if you enter from Parnell Ave. If there are no more vendor spots left when you arrive, then you may park in the main lot. This will ensure more available parking for attendees. You will enter at the 13A doors that face the vendor lot (unless you park in the main lot, then you may enter at the Conference Center entrance).
Booth Respite During the Expo
If you are the only person working your booth and you would like to take a short restroom or snack break, we will provide a volunteer to temporarily staff your booth. Please let us know when you check-in if you will need that service at some point during the Expo.
Booth Tear Down
The Expo closes at 3:00 PM at which time you can take down your booth. You must vacate the Coliseum by 4:00 PM Saturday afternoon. Exhibitors will be fined $50 if leaving before 3:00 PM.
WiFi
Wireless internet access is complimentary up to 1.5 megabytes per device.
Additional Reminders
Coliseum Concessions will be open all day. No food or beverages may be brought into the Coliseum once the show has opened to the public. We will have a break room with beverages and snacks available throughout the day.
